The motorkit.com invoicing procedure depends on your profile (private customer or professional) and your country of residence. Here is all the necessary information according to your situation.

2. You are a private customer in the EU

Download your summary from your customer account

As a private customer (without professional VAT number) residing in Belgium or in the European Union, you can directly download your detailed order summary from your motorkit.com customer account.

How to download your summary?

  1. Log into your customer account on motorkit.com
  2. Click on My account then Order history and details
  3. Select the relevant order
  4. Click on Download or on the download icon next to your order

The document details:

  • The order number and date
  • Your contact details (name, delivery address)
  • The products ordered with their references and prices
  • The shipping costs and total
  • The payment method used
  • The taxes applied

Why no paper delivery?

For ecological reasons, motorkit.com favours the digital document over systematic printing and paper sending:

  • Less paper consumed
  • No emissions linked to printing and postal transport
  • Document accessible 24/7 in your customer account
  • Easy archiving for you (PDF storable on your computer)

This document can be used for most current procedures: insurance, warranty, personal accounting, proof of purchase.

You need a specific document?

If you have a special need not covered by the summary available in your account (for example a specific format required by your insurance or your employer for an expense report), contact us at support@motorkit.com specifying:

  • Your order number
  • The reason for your request
  • The format or specific mentions required

3. You are a Belgian professional

Electronic invoicing via Peppol (since January 2026)

Since January 1, 2026, in accordance with the new Belgian regulation on B2B electronic invoicing, motorkit.com transmits your invoices via the Peppol network.

What is Peppol?

Peppol (Pan-European Public Procurement Online) is the European electronic invoicing network that enables automatic exchange of structured invoices between companies, without going through email or paper.

How do you receive your invoice?

If you are a registered Belgian company:

  • ✅ Your invoice is automatically transmitted to your accounting software via Peppol
  • ✅ You receive it in your accounting management platform
  • No manual action required on your part

Conditions to receive your invoices via Peppol

  • Have a valid Belgian VAT number entered when ordering on motorkit.com
  • Be connected to the Peppol network (most modern accounting software is)

You don't receive your invoices via Peppol?

If your accounting software is not yet connected to Peppol, contact us at support@motorkit.com with your VAT number and your order number. We will find an alternative solution while awaiting your compliance.

4. You are a professional outside Belgium (EU)

Invoice sent by email on a monthly basis

If you are a registered company in another country of the European Union (France, Netherlands, Luxembourg, Germany, etc.) with a valid intra-community VAT number, you receive:

  • An invoice by email summarising all your orders for the month
  • Monthly sending, generally in the first days of the following month
  • A consolidated monthly invoice or individual invoices depending on your volume

Conditions

  • Valid intra-community VAT number (verified on VIES)
  • Correct professional email address in your motorkit.com account

Intra-community VAT advantage

If your VAT number is validated, you automatically benefit from VAT reverse charge: Belgian VAT is not invoiced, you apply the reverse charge mechanism in your country.

5. You are a customer outside the European Union

Invoice systematically sent by email

For any delivery outside the European Union (United Kingdom, Switzerland, Norway, United States, Canada, etc.), private or professional, you receive:

  • Your invoice by email as soon as the order is shipped
  • A copy of the invoice sent to the carrier and customs for clearance
  • Indispensable document for customs procedure on entry into your country

Why this procedure?

For non-EU deliveries, the invoice is mandatory for:

  • Customs clearance of your parcel
  • Calculation of local taxes by customs authorities
  • The carrier (CN23 and customs declaration)

VAT automatically deducted

For non-EU orders, Belgian VAT (21%) is not applied to your invoice. In return, local taxes and customs duties will be payable on arrival in your country.
